Transcribe Workflow Public

Upload an audio or video recording (up to 2 hours) and get a text transcript with speaker labels.

2-5 min· Files auto-delete after processing
How your data is handled
  • Your file uploads to our server over an encrypted connection.
  • The audio is sent to Gladia (France) for transcription and speaker detection. Gladia deletes uploads and transcripts according to the account retention setting; the shortest standard setting is 0 days, which deletes data within 24 hours.
  • We delete both your original file and the transcript 1 hour after you download them.
  • Nothing is shared with anyone else.

Remove Personal Information Workflow Public

Upload transcripts, survey responses, or other text files. The tool flags personal information such as phone numbers, emails, names, job titles, and combinations that could identify someone. You review and choose what to remove.

~5 min per file· Files auto-delete after processing
How your data is handled
  • This tool flags personal information in your file so you can review and remove it. It works in two steps, and you should know where your data goes in each.
  • Step 1, pattern scan. Your file uploads to our Canadian server over an encrypted connection. A pattern scan then finds phone numbers, emails, postal codes, SINs, URLs, and similar patterns using pattern matching only. No external service is involved and your data does not leave our server in this step.
  • Step 2, AI review. To catch names, locations, job titles, and identifying combinations that patterns miss, your text is sent to an AI service, TensorX, located in the European Union. At this point the text still contains the personal information. Under the data processing agreement with TensorX, your text is processed only within the EU or UK, is not transferred elsewhere, and is not retained after processing. TensorX returns its findings and our Canadian server applies the replacements.
  • Review and output. You review and approve the proposed replacements before the final cleaned file is created. If AI review fails for a section, that section is removed from the safe partial file and placed in a private repair file.
  • All uploaded originals and generated files are deleted from our server within one to three hours, when your session expires. Larger batches are held toward the longer end of that window to give you time to finish.
  • Before you upload — Do not upload health records or other sensitive personal information. This tool is built for social services and evaluation data. It should not be used for personal health information, or for data that reveals someone's racial or ethnic origin, religious or philosophical beliefs, sexual orientation, or trade union membership. If your file contains this kind of information about identifiable people, do not upload it until you have checked with your organization.
  • Before you upload — Confirm your organization allows this. Because step 2 sends data outside Canada, make sure your organization permits cross-border processing and that you have permission to upload the file.
  • Before you upload — If your file includes information about Quebec residents, your organization may have additional obligations to review before transferring it.
  • Before you upload — Review before sharing. Automated de-identification is a strong first pass, not a replacement for human review. Always check the cleaned file yourself.
  • Not sure whether your data is safe to upload? Start with your organization's privacy lead. Our technical reference sets out exactly how the tool handles data (providers, hosting regions, last-verified dates).

Qualitative Analysis Workflow Public

Upload transcripts or survey responses. The tool identifies patterns and suggests themes for your key evaluation questions. Provides a report with themes, supporting quotes and questions for discussion.

30-60 min· Files auto-delete after processing
How your data is handled
  • Upload files with personal information already removed. Use the Remove Personal Information tool first if needed.
  • Your text is sent to Google Gemini (via OpenRouter) to help identify themes and pull supporting quotes.
  • You review and approve every step before you download your Excel workbook.
  • All project data is deleted from our server after 7 days of inactivity — save your exports before then.
  • Nothing is shared with funders or other clients.

Evaluation Planner Workflow Public

Describe your program to get a complete draft evaluation plan with a logic model, evaluation questions, indicators, and steps for implementation.

15-45 min· Check data-handling details before use
How your data is handled
  • Opens a separate site (evalplanner.logicaloutcomes.net) with its own account and privacy policy.
  • Program details are processed by AI (via OpenRouter, a US-based routing service) to draft the plan.
  • Check that site's data-handling before entering sensitive program information.
